EAP Providers for Australian Employers: Compare Access, Confidentiality and Reporting

Australian employers should buy an EAP as a confidential employee-support service: specify access, session scope, clinical escalation and employer-visible aggregate reporting. It is separate from workplace investigations and performance evidence collection. The five providers below supply different published service descriptions, not independently verified treatment outcomes or quality rankings.

Five Australian EAP providers compared

Converge International

  • Access and availability: Converge describes employee support without a diagnosis, referral or crisis and advertises face-to-face and remote access. Immediate-family eligibility depends on the purchased program.[1] Confirm actual workforce locations, channels, appointment availability and after-hours service levels in the contract.
  • Session allowance: The cited Converge page describes four sessions per employee, per issue, per annum across its support streams, with two for Legal Support and negotiable alternatives.[1] These are published terms to confirm for the purchased package, not a uniform entitlement across EAPs.
  • Confidentiality and reporting: Converge says employers are not told who accessed the service, subject to legal and safety exceptions that the cited page does not enumerate. Aggregate reports can cover usage, engagement, outcomes and emerging issues.[1]

EAP Assist

  • Access and availability: Employees need an employer-issued access code. Every plan includes digital platforms, an app, counselling, critical-incident support and manager assistance. International and immediate-family support are excluded from Starter but included in higher plans.[2]
  • Confidentiality and reporting: EAP Assist describes counselling as confidential and includes usage reporting in every plan.[2]

Assure Programs

  • Access and availability: Assure offers counselling, coaching and wellbeing support to Australian employees and family members and advertises 24/7 EAP conversations with clinicians.[3]

Associated EAP

  • Access and availability: Associated EAP offers support at more than 30 Greater Sydney locations, in Australian capital cities, and by phone or video.[5]
  • Confidentiality and reporting: Associated EAP advertises “sophisticated reporting”.[5]

ACA/TELUS Health

  • Access and availability: Designed for Australian early-learning providers, the service gives employees and immediate family 24/7/365 urgent telephone support. Non-urgent appointments are usually arranged within one to two days, with appointment-based phone and video counselling available.[6]
  • Session allowance: Employees can receive up to three telephone or video counselling sessions per personal issue, with unlimited issues per annum. Manager Hotline support is additional.[6]
  • Confidentiality and reporting: Employers cannot access identities, reasons for assistance or individual usage frequency. Disclosure may occur for specified risks of harm, destruction of property or legal orders. The Total Wellbeing Index provides de-identified, aggregated reporting.[6]

Published pricing and contract terms

  • ACA/TELUS Health: The 12-month subscription costs $29 plus GST per staff member for ACA members and $36 plus GST for non-members, with no additional fees stated. Outside the annual July renewal period, fees are prorated through 31 July, and the remainder of the joining month is complimentary.[6]
  • Associated EAP: The provider says its bespoke packages have no lock-in contract.[5]
  • EAP Assist: Buyers can select “Auto Renew On” or “Auto Renew Off” when choosing a subscription, but the cited page does not state the cancellation procedure.[2]

The cited pages do not state complete pricing, minimum-spend, contract-duration and cancellation terms for Converge, Assure or Associated EAP.[1][3][5] Obtain the full commercial schedule before comparing total cost.

Minimum contract requirements

Put these requirements in the procurement schedule and contract. OAIC explains that the employee-records exemption does not generally extend to a contractor handling another organisation’s employee information. Where the Privacy Act applies, an EAP contractor cannot simply rely on the employer’s exemption; clarify its collection notices, privacy obligations and disclosure role.[7]

  • Eligibility and access: Define employee, casual, contractor and immediate-family eligibility. List face-to-face, phone, video, app and chat channels, with separate response targets for routine, urgent and after-hours requests. Identify when support is appointment-based rather than immediately available.
  • Session scope: State the number and duration of sessions; whether limits apply per person, issue, stream or year; how repeat issues are classified; whether manager support uses the allowance; and what happens when the limit is reached. Converge counts by issue, year and service stream, while ACA/TELUS sets sessions per personal issue and allows unlimited issues annually.[1][6]
  • Confidentiality: Define lawful and safety-related disclosure exceptions, decision authority, information released, recipients and employee notification. Keep clinical records separate from personnel files, investigation evidence and performance processes. Do not treat an employer’s employee-records exemption as automatic permission for a provider to share counselling records.[7]
  • Aggregate reporting: Specify permitted fields, report frequency, minimum cohort sizes, small-group suppression and prohibited drill-down combinations. Exclude names, clinical notes, free-text case narratives and filter combinations that could identify an employee.
  • Clinical scope and escalation: Specify short-term support, excluded or out-of-scope needs, session-limit transitions, consent-based referrals and the emergency escalation pathway. ACA/TELUS’s offer is not a replacement for emergency services.[6] Confirm who assesses urgency, what after-hours support can do and who pays for services outside the EAP.
  • Data and commercial terms: Record retention and deletion rules, hosting and subcontractor locations, access controls, breach notification and contract-end handling. Separately list pricing basis, minimum spend, GST, implementation fees, indexation, prorating, renewal, notice periods and termination charges.

Optional features to assess

  • Converge: Broad stated geographic and telehealth reach, nine support streams and a defined session model.[1]
  • EAP Assist: Digital tools, critical-incident support and manager assistance on every plan, with family and international support on higher plans.[2]
  • Assure: Family eligibility and advertised 24/7 clinician access.[3]
  • Associated EAP: Greater Sydney and capital-city access, corporate training and a stated no-lock-in offer.[5]
  • ACA/TELUS Health: An early-learning-sector offer with published per-person pricing, family access and issue-based counselling limits.[6]

What to confirm with each provider

The cited pages for Converge, EAP Assist and Assure [1][2][3], and those for Associated EAP and ACA/TELUS Health [5][6], do not state minimum reporting cohorts, small-group suppression rules, report-delivery frequency, data-retention periods, hosting location, breach-notification commitments or whether free-text clinical notes can enter employer reports.

  • Converge: Confirm package-specific family eligibility, after-hours access, enumerated disclosure exceptions, price, minimum spend, contract duration and cancellation terms.[1]
  • EAP Assist: Confirm session limits and counting, after-hours access, confidentiality exceptions, employer-visible report fields, exact plan pricing and cancellation procedures.[2]
  • Assure: Confirm channels, session limits, disclosure exceptions, report contents, aggregation controls, pricing and contract terms.[3]
  • Associated EAP: Confirm family and after-hours access, session limits, confidentiality exceptions, reporting safeguards, pricing and the exit process despite the stated no-lock-in offer.[5]
  • ACA/TELUS Health: Confirm early-cancellation terms and the technical privacy controls behind aggregate reporting.[6]

Before signing, request a completed requirements schedule, sample aggregate report, privacy and breach procedure, escalation pathway, full fee schedule and cancellation clause. Treat provider outcome, scale and testimonial claims as vendor-published evidence rather than an independent ranking.[1][2][3][5]
