SMSF Administration Services: Compare Accounts, Returns, Records and Exit Handover

Compare SMSF administration providers

SMSF administration is a recurring accounts, returns and records engagement. Compare who prepares and lodges the annual return, who controls the records, which tasks trustees retain and how an independent auditor is appointed. ASIC Moneysmart explains that trustees remain legally responsible for fund decisions even when they use an adviser, accountant or lawyer.[7]

These published service descriptions identify different buying routes: SuperConcepts and Superannuation Warehouse describe broader administration offers; iCare’s cited page covers pension work; SMSF Australia’s white-label offer is for accounting firms.[1][2][5][6] A pension-only or accountant-facing quote is not directly comparable with a trustee’s full annual administration engagement. Provider descriptions do not independently verify quality, turnaround or contractual availability.

  • Audit arrangement: Confirm the audit arrangement, standard annual price, package limits, contract length and cancellation terms.[1]
  • Pricing and exit transparency: Obtain separate dated prices for establishment, the first year and standard renewal years. Confirm any introductory eligibility conditions, expiry date, package limits and exit fees; a setup promotion does not establish ongoing administration cost.[1]

  • Audit arrangement: Confirm the audit arrangement and obtain written terms covering the contract, cancellation and fund-complexity limits.[2]

Administrator, trustee and auditor responsibilities

  • Administrator: Depending on the engagement, administrative work can include maintaining investment registers, recording and reconciling transactions, preparing financial reports and member benefit statements, processing member transactions, and preparing or lodging returns. An administrator may also assemble records and liaise with the auditor.[4]
  • Trustees: Superannuation Warehouse says trustees select investments in line with the fund’s investment strategy, retain original source documents such as bank statements, and provide copies for preparation of the accounts and return.[6] Grow SMSF also describes maintaining and reviewing the investment strategy, confirming how assets are held and documenting related-party transactions as trustee tasks.[3]
  • Independent auditor: GS 009 describes the annual financial and compliance engagement by an approved SMSF auditor, with the auditor’s report completed before the annual return is submitted.[8] Specify who supplies evidence and handles queries; administration support is separate from the auditor’s engagement.

Treat personal financial advice, investment execution and custody as separate services unless the written engagement expressly includes them. Superannuation Warehouse, for example, says it does not control fund assets or request account passwords.[6]

The auditor must assess independence for the actual engagement; bundling an audit with administration does not itself establish independence. AUASB’s June 2020 GS 009 explains self-review risks when accounting work is also audited and circumstances requiring threats to be addressed. This guidance explains existing requirements; the proposed auditor should confirm the current standards and safeguards applicable to the fund.[8]

Check record control and exit handover

Portal access alone does not explain who controls the accounting ledger, source documents and workpapers, what can be exported or what remains accessible after termination. The engagement should address each category separately.

SMSF Australia says accounting firms retain live access and control of their clients. It uses Class Super, Cloudoffis and in-house automation and can also use BGL360.[5] The statement does not confirm equivalent access for individual trustees or specify the format of an exit export. Its page also says the relevant software providers do not warrant that all data is stored in Australia.[5]

Recordkeeping remains part of running an SMSF even with professional help.[7] Inventory original bank and investment statements, the accounting ledger, annual financial statements and returns, member and pension records, deeds, minutes and audit reports. For each category, specify the trustee’s copy, provider access, export format, retention rule and handover owner. Provider workpapers may have different release terms from the fund’s source documents; resolve that distinction in writing.

Before appointing a provider, record who controls each record category, available export formats, post-termination access, handover timing, workpaper release and any exit assistance or fee.

How pension administration differs

General administration can include recording transactions, reconciling bank and software data, preparing annual accounts and member benefit statements, and preparing or lodging the fund’s return.[4]

Pension administration adds event-specific work. iCare Super lists member applications, pension agreements, condition-of-release declarations, commencement minutes, pension calculations, actuarial certificates and PAYG registration or summaries where required.[2] It also describes support for full or partial commencements, regular or lump-sum payments, transition-to-retirement pensions and reversionary pensions.[2]

Ask whether the quoted scope includes:

  • pension commencement documents;
  • annual pension calculations and member notifications;
  • applications for any required actuarial certificate; and
  • PAYG registration, withholding and summaries.

Do not infer these services from a standard accounts-and-return package.

Compare the full service cost

Compare establishment and recurring administration separately, then identify charges for the independent audit, pension work, actuarial certificates, advice, software access, additional investments or transactions, wind-up work and exit assistance.

  • Superannuation Warehouse: Separate establishment from recurring administration and identify audit, software and complexity inclusions. Confirm GST and fund costs outside the package, including bank charges, the ATO supervisory levy and applicable taxes.[6][7]
  • SMSF Australia: Its fixed annual administration fee includes the audit, while advice and support are quoted separately in advance.[5]
  • SuperConcepts: Compare standard renewal-year administration, audit and software charges separately from any confirmed introductory discount. Record the conditions and dates of the actual offer rather than assuming a promotion continues.[1]
  • iCare Super: Obtain a separate quote for the pension work required and confirm whether general accounts, returns and audit coordination are included.[2]

What to confirm with each provider

  • SuperConcepts: Confirm the audit arrangement, standard annual price, package and transaction limits, contract length, cancellation notice and exit handover.
  • iCare Super: Confirm audit coverage, pension and general administration fees, complexity limits, contract terms, cancellation and handover.
  • SMSF Australia: Confirm the annual fee amount, contract duration, cancellation terms, fund-volume limits, trustee access and exit-export format.
  • Superannuation Warehouse: Confirm the recurring plan price and limits, minimum contract duration, cancellation process and exit handover.

The engagement should also specify who prepares and lodges the return, whose tax-agent authority is used, and how audit queries or extra work are charged. SMSF Australia says it can lodge under its agency at no extra charge or allow the accounting firm to use its own tax-agent identification number.[5]

For funds with pensions, unusual assets, related-party dealings, limited-recourse borrowing or wind-up requirements, obtain written confirmation that the work is supported and identify any separate charge.[2][3][5]

Plan a change of administrator

Before giving notice, inventory deeds, minutes, original statements, investment records, member data, previous accounts and returns, audit reports and pension documents. Superannuation Warehouse says trustees retain original source documents while supplying copies for accounts and return preparation.[6] iCare Super’s pension records can include commencement agreements, declarations, minutes, actuarial certificates and PAYG documents.[2]

  • Agree on the cut-off date and responsibility for unfinished accounts or returns.
  • Specify the final data export, return of source documents and auditor liaison.
  • Request historical information as readable reports and reusable data files.
  • Record when portal access ends and assign responsibility for missing items.

A change of administrator does not transfer trustees’ responsibility for the fund.[7] Agree on the last completed period, owner of the unfinished return, audit-query contact, outstanding fees, ledger export, source-document copies and pension-record handover. Confirm the current retention requirement for each record category with the fund’s accountant or legal adviser, and record the applicable rule and disposal date. Keep records while audit queries, disputes or legal holds remain unresolved; do not use the provider’s portal-expiry date as the disposal rule.
